Choose the vehicle method before listing costs
Compare standard and actual mileage before entering gas, repairs, maintenance, depreciation, insurance, or lease costs.
The standard mileage method represents many vehicle operating costs for the same period; the actual method allocates eligible costs to business use. Keep the mileage log under either method, but do not stack the same core costs simply because the app shows a fuel line. Check the current IRS rule and your method history before changing methods.
Keep a defensible mileage record
Online or booked miles are not automatically the same as deductible business miles. Record date, start and end or route, business purpose, distance, and whether the mile was personal or commuting. Allocate mixed-use phone, data, and equipment
A mixed-use phone plan, data service, subscription, mount, charger, or computer needs a reasonable business-use allocation. Save the bill, the period, the total charge, the business-use method, and a short explanation of how the percentage was determined. A round number is not automatically wrong, but an unexplained percentage is difficult to defend. Personal use remains personal even when the device is used during a shift.
Reconcile Uber fees and supplies
Download payout statements and identify service fees, processing charges, refunds, promotions, and adjustments. A fee may be shown separately, netted from a payout, or already reflected in a summary. Record it once after reconciling the presentation. Delivery bags, safety equipment, cleaning supplies, and other items need a business purpose, receipt, date, and note about reimbursement or personal use.

Parking, tolls, and other categories
Business parking and tolls can have separate treatment from the core vehicle method when the facts support them. Keep the receipt and the business destination. Do not assume meals, everyday clothing, or a personal phone upgrade becomes deductible because it was used during a shift. When a category is uncertain, label it for review rather than hiding it in “other expenses.”
Use the calculator only after the file is ready

Retain mileage, date, route, business purpose, receipts, platform statements, and allocation notes for the final review. A larger modeled deduction is not a cash reimbursement and does not prove that the IRS will accept a claim.
Review the ledger before the return
At month end, compare the deduction ledger with the Uber annual summary and bank activity. Remove a reimbursement, personal purchase, duplicate fee, or vehicle cost already represented by standard mileage. Mark uncertain items for review and preserve the original receipt. This review is also where you catch a missing month of mileage or a business-use percentage that was copied forward without checking actual use.
Use a category checklist instead of a guess
For each proposed deduction, answer five questions: what was purchased, when, by whom, for what business purpose, and how was the business share calculated? Add whether Uber reimbursed or netted the amount and whether the vehicle method already covers it. If any answer is missing, keep the item in a review queue rather than presenting it as a confirmed deduction.
